EHS Hiring Office Coordinator

EHS is seeking an Office Coordinator. Responsibilities will include

  • Collecting, interpreting, processing paperwork, and monitoring financial and HR paperwork for the department;
  • Preparing financial reports by collecting, analyzing, and summarizing account information and trends;
  • Coordinating departmental events, meetings, training, and presenters;
  • Monitoring accounts receivable transactions, preparing invoices, reconciling accounts receivable, resolving discrepancies, and handling delinquent accounts;
  • Charging expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries;
  • Establishing contracts and paying vendors by monitoring discount opportunities; verifying federal id numbers; scheduling checks;
  • Resolving purchase order, contract, invoice, or payment discrepancies and documentation;
  • Ensuring credit is received for outstanding memos;
  • Issuing stop-payments or purchase order amendments;
  • Processing HR paperwork for support staff and students including hiring, interviewing, onboarding, training, promotions, raises, time off, leaves and terminations;
  • Managing, reviewing, and advising on documents and training for accessibility standards and document management;
  • Providing some clerical support including calendaring and phones.
